Artifact_04 — The Code

Event Policies

The rite has rules. They exist so everyone inside the gate is safe, seen and free to lose themselves in the music. Buying a ticket or entering the venue means you accept them.

01Tickets & Admission

A valid ticket is required for every guest. Buy only from the official ticket partner linked on this site. Tickets bought from resellers, social media sellers or touts may be fake or already used, and will not be honoured.

  • Each ticket admits one person, once. The QR code is scanned at the gate and cannot be reused.
  • Keep your ticket private. Do not post your QR code online — whoever scans it first gets in.
  • Have your ticket ready on your phone (brightness up) or printed.
  • Ticket tiers (e.g. Regular, VIP, Table) give access only to the areas listed for that tier. Wristbands must stay on all night.

No re-entry. Once you leave the venue, your ticket is spent.

02Refunds & Transfers

All sales are final. Tickets are non-refundable except where the event is cancelled outright (see Changes & Cancellation).

  • Transfers to a friend are allowed through the official ticket platform only, where the platform supports it.
  • Changes to the line-up, set times or support acts do not qualify for a refund.
  • Booking and service fees charged by the ticket platform are non-refundable.

03Age & ID

Nimo Live is open to guests aged 14 and over. Every guest must carry valid, original photo ID showing date of birth:

  • Ghana Card
  • Passport
  • Driver's licence
  • School or student ID with photo and date of birth (guests under 18)

Photocopies, phone photos and expired documents are not accepted. Guests who cannot prove their age will be refused entry without a refund.

Alcohol is served only to guests aged 18 and over. Guests under 18 will be identified at entry and may not buy, be bought or drink alcohol. Anyone supplying alcohol to an under-18 will be removed.

04Entry & Security

Every guest, bag and vehicle may be searched on entry. Refusing a search means refusing entry.

  • Small bags only — clutch, belt bag or a bag no larger than A4. Backpacks and large bags will be turned away; there is no cloakroom for them.
  • Security staff may refuse entry or remove anyone who is intoxicated, aggressive or breaks these policies — without a refund.
  • Follow instructions from security, stewards and venue staff at all times.
  • CCTV operates throughout the venue.

05Prohibited Items

The following items are not allowed inside. Prohibited items will be confiscated and are not returned. Illegal items will be handed to the police.

  • Weapons of any kind, including knives, blades and anything that could be used as one
  • Illegal drugs and drug paraphernalia
  • Outside food and drink, including alcohol
  • Glass bottles, cans and metal containers
  • Fireworks, flares, smoke canisters, lasers and confetti cannons
  • Professional cameras, detachable lenses, tripods, drones and audio recorders (without media accreditation)
  • Selfie sticks, large flags, banners and poles
  • Hoverboards, scooters and bicycles
  • Any item intended for unauthorised sale or promotion

Need medication or a medical device inside? Bring it in its original packaging with your prescription and tell security at the search point.

06Code of Conduct

Nimo Live is a space for everyone who came to feel the music. We have zero tolerance for:

  • Harassment, groping or any unwanted physical contact
  • Discrimination based on race, ethnicity, religion, gender, sexuality, disability or background
  • Violence, threats, fighting or intimidation
  • Spiking drinks or tampering with anyone's food or belongings
  • Throwing objects at the stage, performers or other guests
  • Climbing on structures, barriers, speakers or the stage

If you see something, say something. Find any steward, security officer or the welfare point — you will be believed and helped. Anyone breaking this code will be removed and may be banned from future Nimo Live events and reported to the police.

07Health & Safety

  • A first-aid and medical team is on site for the whole event. Ask any steward to take you there.
  • Free drinking water is available. Drink water regularly — it gets hot near the stage.
  • Know your limits with alcohol. Bar staff may refuse service to anyone who appears intoxicated.
  • The show uses loud sound, strobe lighting, haze and special effects. Guests with photosensitive epilepsy or other conditions should take care. Ear protection is recommended.
  • In an emergency, follow the stewards and the nearest marked exit. Do not stop to collect belongings.
  • Smoking and vaping are allowed only in designated areas.

08Accessibility

We want everyone to be part of the night. If you have a disability or access requirement, email us at least 7 days before the event so we can prepare.

  • Step-free access and an accessible viewing area, subject to venue layout
  • A free companion ticket for guests who need a personal assistant (proof may be requested)
  • Accessible toilets on site
  • Registered assistance animals are welcome

09Photo, Film & Recording

Nimo Live will be photographed, filmed and possibly broadcast or streamed. By entering, you agree that your image and voice may appear in this content and be used by Nimo Live, AratheJay and their partners in any media, worldwide, without payment.

  • Phone photos and short clips for personal social media are welcome — tag the night.
  • Recording full songs or full sets for distribution, sale or commercial use is not allowed.
  • Professional cameras and equipment require media accreditation.

Prefer not to be filmed? Tell a steward on arrival and we will do our best to keep you out of close-up shots.

10Media Accreditation

Journalists, photographers, videographers and content creators must apply for accreditation. Accreditation is not guaranteed, and only approved applicants will be contacted.

  • Accredited media must wear their pass visibly at all times and stay in designated media areas.
  • Photo pit access, if granted, is limited to the first three songs of AratheJay's set unless agreed otherwise.
  • No flash photography during performances.
  • Use of images and footage is for editorial purposes only. Commercial use requires written permission.
  • Please credit "Nimo Live" when publishing.

11Vendors & Partners

Only approved vendors and partners may trade, sample or promote at Nimo Live. Vendor and partner applications are reviewed on a rolling basis.

  • Vendors must hold any permits and food-handling certification required by local authorities.
  • Pricing, menus and products must be approved in advance. No unapproved brands may be shown or sold.
  • Set-up and breakdown happen only within the times given in your vendor brief.
  • Stalls must be kept clean, safe and within the allocated footprint. Exits must never be blocked.
  • Guests aged 14–17 attend, and are marked as under 18 at entry. Anyone selling alcohol must check for that marker or ask for ID, and refuse sale to anyone under 18.
  • Vendors and partner staff follow the same code of conduct as guests.

12Volunteers

Volunteers are part of the crew and represent Nimo Live all night.

  • Volunteers must be at least 18 and attend the mandatory briefing before the event.
  • Shifts are assigned by the volunteer lead. Arrive on time and stay at your post until relieved.
  • Wear the volunteer tee and credential you are given. Credentials cannot be shared or transferred.
  • No alcohol or drugs before or during your shift.
  • Volunteers who complete their shift may watch the rest of the show, as set out in their volunteer brief.

13Changes & Cancellation

We reserve the right to change the line-up, set times, venue layout or programme where necessary. If the venue or date changes, existing tickets remain valid for the new date or venue.

If Nimo Live is cancelled outright and not rescheduled, ticket holders will be refunded the face value of their ticket through the original ticket platform. We are not responsible for travel, accommodation or other costs.

If the event has to stop part way through for reasons beyond our control (including severe weather, power failure, a safety incident or instructions from the authorities), no refunds will be given.

14Lost & Found

Bring only what you need and keep valuables close. Lost property handed in on the night goes to the information point. After the event, email us with a description of the item, and we will hold found items for 30 days.

15Privacy & Data

Nimo Live's organisers are responsible for the personal information collected through this site and at the event. We collect only what we need to run the event: ticket details, the email and phone number you give to join the ticket waitlist, and the information you give in volunteer, vendor, media, partner and artist applications.

How we use it

  • Waitlist details are used only to tell you when tickets go on sale and to send Nimo Live news. Ask us any time and we will take you off the list.
  • Application details are used only to review your application, contact you about Nimo Live and, for crew, keep everyone safe on the day.
  • Volunteers give an emergency contact. Please make sure that person has agreed; we use their details only in an emergency.
  • If you tick "keep me posted", we will send occasional Nimo Live news. You can opt out at any time.

Where it is stored

  • Waitlist sign-ups and applications are stored in Google Workspace (Google Sheets), which may keep data on servers outside Ghana.
  • The organising team may also receive a copy of each application by email. Those copies follow the same retention period below.
  • While you fill in a form, your answers are saved in your own browser so you don't lose them. That copy is deleted when you submit. An unfinished draft is kept for up to seven days and removed the next time the form is opened after that; you can also clear it with your browser's site data.
  • We do not sell your data. We share it only with service providers who help run the event, such as ticketing and accreditation partners.

How long we keep it

Waitlist and application data is deleted within 12 months of the event, unless you ask us to keep you on file for future editions.

Your rights

We handle personal data in line with Ghana's Data Protection Act, 2012 (Act 843). You can ask to see, correct or delete your data, or withdraw your consent, at any time by emailing info@xecuteteam.com.
